Brookdale Senior Living: Triple Integration and a Procurement Platform Change

Customer since 2001 · 2019 and 2024

The problem. Brookdale ran a legacy internal marketing platform through a second vendor alongside the portal Fidelity built and hosts for them. The portal was integrated with their procurement system, Coupa; the other vendor’s platform could not connect to it. Some communities were used to the old interface, so Brookdale asked Fidelity to take over production and management of that platform’s materials, integrate it with ours, and consolidate everything inside Coupa.

Our solution. Fidelity worked directly with Brookdale’s procurement team and Coupa’s engineers to build an API that connected all three systems. It took significant backend development, recoding and item duplication, but users saw no change: no interruption, no corporate communication, no retraining. In 2024 Brookdale replaced Coupa with Oracle Business Network (OBN), whose API structure was incompatible with the old integration. Rather than patch it, we built a new portal environment with a multi-API backbone, and delivered the upgrade at no cost to the client.

The result. Zero disruption to more than 10,000 users across 800+ communities, full integration with Brookdale’s evolving procurement infrastructure, and a future-proof foundation for the next platform shift.

Brookdale Senior Living: A Literal Life-or-Death Situation

Customer since 2001 · 2020–2022

The problem. In the first weeks of the pandemic, Brookdale’s CEO anticipated the need for personal protective equipment and had procurement buy it in bulk from global sources. By early March 2020 it was arriving at corporate headquarters without standard packaging, identification or English labels. Distributing it to more than 800 communities was a logistical problem nobody there was equipped to handle.

Our solution. Because Fidelity already ran Brookdale’s corporate-wide distribution system for print and marketing materials, they called us. We dispatched trucks the same day, moved the unorganized PPE to our warehouse, and unpacked, inspected, counted, organized, repacked, labeled and assigned SKUs to every item. Within the week we had integrated more than 100 PPE products, millions of dollars of inventory, into the ordering interface the communities already knew, and shipments were moving. At the peak we ran 24/7, established direct FedEx routing at Nashville International, and raised our insurance, digital security and on-site security to match the stakes.

The result. Communities ordered PPE the way they ordered brochures, and received it the same day.

Sound Physicians: Tradeshow Headaches

Customer since 2007 · 2020

The problem. Sound Physicians attends dozens of tradeshows a year to recruit clinicians and market to clients. Unhappy with their event vendor’s timeliness, accuracy and service, they asked Fidelity to take over producing, warehousing and distributing event materials, and to fold ordering into their existing portal so divisions could not order each other’s items.

Our solution. The warehousing and distribution system we had just built for Brookdale’s PPE transferred directly to tradeshow materials. The software change to protect divisions from ordering the wrong items was straightforward inside our portal. Along the way we learned that a customer of more than ten years did not know we produced grand-format displays, and we have been more deliberate about telling our partners what we can do ever since.

The result. Lower cost in both production and logistics, and one portal for every division’s event materials.

Marriott International: Variable Gold Foil at Scale

Customer since 2009 · 2022

The problem. Marriott’s President and CEO wanted a recognition certificate with each honoree’s name in real gold foil, not gold ink or metallic toner. Traditional foil stamping would have required a separate stamping die for every name, which was prohibitively expensive at the quantities involved.

Our solution. Our production team brainstormed, consulted engravers and competitors, and tested until we found the answer: gold-foil metallic paper, a flood of white from the spot-color unit on our digital press with each name reversed out to let the foil show through, and the remaining certificate information printed in CMYK on top.

The result. Hundreds of unique, true-gold-foil names at digital-print cost, and a relationship with Marriott that continues to this day.

Great Minds: A Rebranding Dilemma

Customer since 2013 · 2022–2023

The problem. Great Minds needed a custom spot-color palette for each product line, with precise, repeatable color matching, on digitally printed CMYK work.

Our solution. Fidelity printed test sheets for every color in every product line from the customer’s CMYK builds, reviewed them with the Great Minds design team, adjusted, reprinted and reviewed again over several months until both sides were satisfied. We then named each build as a spot color, produced a customer swatch book, loaded the spot colors into their design software, and programmed our presses to recognize and convert those names in every print file.

The result. Consistent brand color on every physical product, automatically, no matter who designs the file.

Vanderbilt Health: A Portal for Every Employee

Customer since 2014 · 2023

The problem. Vanderbilt wanted more than 20,000 employees to be able to order print collateral promoting its new My Health at Vanderbilt patient portal, without the security credentials used on their standard ordering portal, limited to a specific set of items, and as fast as possible.

Our solution. This looked more like a consumer storefront than the business portals we usually build, so instead of forcing it into our existing framework we chose a simple e-commerce platform, secured a dedicated URL, loaded the materials and connected the back end to our production and billing workflow.

The result. Online, tested and ready for rollout in three days.

EES, The Global Event Agency: Event Materials Damaged in Transit

Customer since 2023 · 2024

The problem. EES manages corporate events across the United States and relies on Fidelity for fast-turn large and grand-format displays. The day before a leadership meeting in Dallas for another Fidelity client, Lifepoint Health, their team discovered FedEx had damaged several display boards in transit.

Our solution. Reprinting was the easy part; several wide-format presses had the boards rerun within the hour. Getting them to Dallas by morning was not. Oversized boards that had already been damaged once could not go back through standard freight. So our CEO, a pilot who flies humanitarian and anti-trafficking missions in his personal time, loaded the boards into his aircraft, flew to Dallas Love Field, and with the help of the airport’s fixed-base operator had them at the hotel that evening.

The result. The display was up on time and in perfect condition.

A Regional Healthcare Group: Targeted Patient Mailing for a New Facility

Customer since 2025 · September 2025

The problem. A healthcare group sent us a patient list of about 25,000 records to announce a new facility. The list contained protected health information, had arrived by unencrypted email, was full of duplicates and non-standard addresses, and the plan was to mail all 25,000.

Our solution. We flagged the insecure transfer immediately and walked the client through compliant PHI handling. We then cleansed and standardized the list to USPS requirements, geocoded every address, calculated distance from the new facility, and presented tiered options at 5, 10 and 15 miles so the client could balance budget and reach. The whole analysis was back to the client in under three hours; files arrived Tuesday and the job mailed Friday.

The result. 25,000 records became roughly 8,200 valid addresses and a targeted mailing of about 2,000 patients near the facility, saving the client more than $18,000 against the original plan, with their PHI handling put right at the same time.
